Portal may collect categories of participant information such as names, contact details, emergency contacts, waiver status, trip registration details, profile updates, and admin review notes.

Participants or organization admins may provide the information.
The information is collected to operate registration, readiness review, reporting, and participant support workflows.
Sensitive fields should be limited to workflows where the organization needs them.

Access and service providers

Organization admins can access records for their own organization. Portal may rely on third-party infrastructure and service providers for hosting, database, email, authentication, and related operations.

Participant-facing access is limited to invited workflows.
Export and correction requests should use the published contact path.
Retention and deletion posture should be finalized before broad launch.
