Churches and nonprofits should understand who owns participant records, how export requests work, and what happens when an organization leaves Portal.

Your organization owns its participant information

Your organization owns the participant information it collects through Portal. Evryday Portal is the system used to organize that information.

  • Admins should keep their own required long-term records.
  • Portal should not be treated as the only long-term archive for records your organization is required to keep.
  • Correction or export requests should go through the published support contact.

Export formats

If you leave Portal, you can request an export of your organization's participant, trip, and report data in a practical format, such as CSV and/or PDF where practical.

  • Some exports may exclude system logs or internal security records.
  • Generated files that are not part of the participant record may be handled separately.
  • Export turnaround should be confirmed during onboarding or renewal.

Cancellation and offboarding

If your organization cancels, Evryday will help you export your organization-owned data before access ends. After offboarding, Portal access may be disabled and retained data may be deleted according to the published retention policy.

  • Historical data access depends on the active term and offboarding plan.
  • Files should be exported before access is disabled.
  • Retention and deletion details should be reviewed before launch.
